Office Holiday Party – 101
By Kim Stone
The traditional office party is not as easy to plan as it used to be. Everyday people with everyday lives tend to make you consider the era in which we live. Modern times will have you be planning an elegant corporate event, while considering workplace diversity and cultural differences you may encounter with your coworkers. With information and organization, your event can be a great way to celebrate Season’s Greetings with all.
If you are chosen to plan your company’s event, you should ask a few basic questions to make sure that you understand what your assignment will be. If you are to be planning your holiday event for your company, you will need to know exactly what is on the agenda so that no detail is overlooked.
*Establish your budget! First and foremost!
*Create a timeline and prepare a checklist to make sure you don’t overlook any detail.
*Will there be a theme for your event? If so, you will be able to coordinate your décor with your theme as you plan. Order your party favors early so as to ensure delivery.
*Will you be expected to plan the event by yourself or will you be allowed to hire a professional? Again, this may depend on the budget. If you are going to be “the” coordinator, delegate! You may be surprised that your coworkers would help out if they are asked.
*Establish the date and time of your event.
*Establish if the event will be formal or casual.
*Will the event be held at a location other than your building? If so, make the reservations well in advance. The holiday season is a very busy time for restaurants and party centers.
*Establish your guest count. Will this event be for employees only or will it include their spouses. Order invitations as RSVP cards.
*Will there be a cocktail hour? Serving dinner? (buffet or sit down) Will a seating chart need to be arranged and if so, order place cards.
*Ask if awards will be given. Talk with your supervisor and with the person or team that coordinated the event in previous years. If so, will you be responsible for selecting the awards and getting them ordered?
These are just a few of the details that will need to be covered. Don’t become overwhelmed and frustrated. Organization is the key to successful planning. Make your list, check it twice, or even three times! Make this year’s holiday party the corporate event your peers will be talking about for years to come. Each time they look at the cherished gift they may display on their desk, your coworkers will remember a job well done!
